Context of Commitment
When you book a trip with Himalayan Terrain by Archive, we immediately begin incurring costs on your behalf such as securing permits, reserving accommodation, and allocating staff.
These costs are often non-recoverable once committed, which is why our cancellation policy includes charges scaled to how close to departure the cancellation occurs.
This policy applies to all bookings made directly with Himalayan Terrain by Archive.
How to Initiate Cancellation
1. Email info.himalayanterrain@gmail.com with your full name, booking reference, and trip details.
2. Acknowledgment will be provided within 24 hours confirming the official cancellation date.
3. Eligible refunds are processed within 14 business days to the original payment method.

1. Fee Schedule

Amendments
Date Changes
Deposit transfer permitted 60+ days before departure, subject to availability.
Itinerary & Name
Subject to permit restrictions and administrative fees.
Company Cancellation
In cases of severe weather, insufficient bookings, or force majeure:
• Full transfer to new date (24 months validity)
• Full credit note provided
• Full refund excluding 3rd-party non-refundable costs
Coordination & Insurance
If a trip is cut short due to illness or personal choice, no refund is issued for unused portions. We will assist in coordinating evacuations and provide full documentation for travel insurance claims.

Late Arrivals
Failure to join at the scheduled point on the departure date is treated as a no-show. No refund will be issued.
Processing
Eligible refunds return to original payment methods within 14 business days. Bank wire fees are the client's responsibility.
